How to Set Up and Manage Auto Pay

Clients can manage their auto pay settings by logging in to Generis' Bill.com portal or by contacting Generis

Most Generis contracts indicate that automatic bank draft (also known as ACH) is the default payment method for all payments due under the contract. This provides a secure, convenient, and reliable way to exchange payment. With auto-pay enabled, Generis will automatically draft the agreed-upon and invoiced payments on the invoice due date. You will still receive an invoice approximately 20 days before the payment draft date and can update your auto-pay preferences at any time.

Clients who wish to use this default method have multiple options to set up and manage your auto-pay settings.

Option 1: Complete ACH Authorization Form

Immediately upon executing your Generis contract, the Client invoice contact will receive an invitation to complete a secure automatic bank draft authorization form by email. This form authorizes Generis to directly draft the client's bank account for the contracted payment amounts on the payment due date. Simply complete the form and the Generis Finance team will set up automatic payments on your behalf.

If you signed your Generis contract before we implemented this system, or if you want to provide new account details, you may fill out a new ACH Authorization Form at any time by clicking the button below. This form will be submitted using a secure online interface.

Option 2: Set Up Auto Pay From the Client Portal

Generis uses Bill.com to manage our invoicing and receivables from our U.S. clients. Generis clients can set up a free Bill.com portal login to access a user-friendly interface to view, manage, and pay invoices from Generis.

Through the Bill.com portal you may set up auto pay so that your Generis.com invoices are paid automatically on the invoice due date. You may update this choice at any time from the Bill.com portal.

  1. Visit https://app02.us.bill.com/p/generissolutions
  2. Log in to your bill.com portal. If you don't have an account you may create one for free. To create an account you'll need a recent invoice from Generis. If you don't have access to an invoice, please contact us.
  3. Once you've logged in, choose "Auto Pay your bills" from the home screen and fill out the form on the next page.

FAQs

Can I cancel my ACH authorization?

Yes. You may revoke your ACH authorization at any time by contacting the Generis finance team. You may also turn off auto pay by logging in to your Bill.com portal.

Who will have access to my bank information?

Your bank details will be accessible only by the Generis finance team. When we receive your secure ACH authorization form, our team will enter the account details into Bill.com and then store a PDF version of the form in a secure location.

Is my form submission secure?

Yes. ACH Authorization Forms are submitted using an encrypted format through our contract software PandaDoc. The form is only accessible by the Generis finance team.

Is auto-pay required?

No. We strongly encourage auto pay through ACH because it is secure, convenient, and reliable. It ensures that we can compensate your Generis consultant consistently and fairly for his or her work for your organization. However, if you prefer to initiate payments by check or individually by electronic methods, simply let us know. We will be happy to work with you to accommodate your organization's needs.

What payments will be automatically drafted?

We will draft all payments authorized under any contract between Generis and your organization. This may include consulting fees stipulated in the contract, authorized travel/expense reimbursements, charges you authorize for wealth screening (donor analysis) services, and other charges that may be authorized under a contract.

You will be invoiced approximately 20 days before the payment is drafted. The invoice will clearly state the nature of the charge. If you ever have any questions or want to dispute a charge, please contact us immediately after receiving the invoice. We will be happy to discuss the charge with you and correct any errors.

Is there a limit to how much will be drafted?

We will only draft amounts that you have authorized under a consulting agreement or other agreement for services. These amounts vary from client to client depending on the services being delivered.

Your financial institution may place technical or policy limits on the amount that may be drafted in a given transaction, day, week, or month. We will work with you if we encounter any difficulties drafting your payments due to such limits.
